The inferno has begun to subside, and we can breathe a sigh of relief. Momentarily that is. While we can all agree the change of temperature is welcomed, with it comes hurricane season. If you have lived in Florida for any length of time, it’s likely you are no stranger to hurricane preparation. Though, just like in real estate, residential and commercial do have some differing nuances. Let this guide of “Pro Tips” be in addition to what you perhaps already have in place.

 

5 Pro Tips for the Landlords:

 

1.     Communication, Communication, Communication – Put together a 1-pager with critical information for when the time comes. Include property management contact information, expectations (i.e. removal of items from the floor in the event of flooding, etc.), and action items being taken (i.e. boarding glass, sandbags, etc.).

 

2.     Confirm the Insurance Binder – This may vary on policyholder based on the property use and type. Ensure policies are current and include proper coverage. Once a storm has been upgraded to a “hurricane” you can NOT make changes to the coverage. In the event the Tenant is responsible for the policy, keep in mind that this is your asset; go the extra length to ensure the property is protected.

 

3.     Know Your Inventory – Tools, gasoline, fuel cans, chainsaws, blowers, high-velocity fans, carpet blowers… I could go on, but you get the point. These items can come in clutch in emergency situations when your tenant is depending on uninterrupted business operations. If you don’t have these items and you self-manage the property have a team member who can spring into action (more on this below). Otherwise you yourself need to be ready even if this includes rental equipment (see list below).

 

4.     Know Your Prices – Budget for mother nature, it’s not “if” rather “when”. Coming to expect the unexpected, you will be putting yourself in a position of greater control. Whether you are paying for a third-party to remediate or if you are a do-it-yourselfer – PLAN AHEAD. Owning commercial property can yield 2x+ returns though it won’t be without its fair share of “problems”.

 

5.     Assemble Your Team – Recurring theme throughout every aspect of commercial real estate. Knowing who to turn to in each scenario will save you time and money. You know what I’m talking about, the “Oh, I have a guy for that”. I challenge you to take it a step further and activate these contacts prior to hurricane landfall to discuss expectations in a best to worst case scenario.


 

4 Pro Tips for the Tenants:

 

1.     Know Your Responsibilities – Review your lease agreement to understand what party is responsible for what. It is likely the Landlord is responsible for the structure, roof and roof deck which should give you as the Tenant a piece of mind. Additionally, I would advise reading the “force majure” clause. This provision outlines the rights and obligations of both the landlord and tenant in the event that the leased premises are damaged or destroyed by unforeseen, uncontrollable events like natural disasters.

 

2.     Emergency Contacts – Be sure to have these phone numbers saved to avoid scrambling at the last minute. We recommend property managers and owners in addition to tool rental vendors as contacts saved in your phone.

 

3.     Communication, Communication, Communication – If you need further clarification contact the property manager and/or owner sooner than later. Keep in mind you are both striving towards the same goal…consistent successful business operations.

 

4.     Stay in the Know – It’s not unusual for counties and local authorities to make executive decisions regarding hours of operation and curfews. It will be your civic responsibility to abide by these rules.
